Invoices represent payment requests to your customers. keinaufwand creates them automatically:
You can't create invoices by hand.
From the admin panel, you'll find all invoices under Payments > Invoices. You can also see the invoices of a customer or subscription in its details view. Use the Search filter to find invoices by invoice number, reference, or the customer's name, email address or phone number.
Use the tabs above the list to filter invoices by status:
You set the due date of subscription invoices under Settings > Invoices in the Due date section. Invoices of event registrations with Pay on site are due on the day of the event. Invoices paid online with Stripe are recorded as paid automatically after the successful payment and can't be edited.
Invoice numbers are assigned sequentially per customer. They consist of a customer code and a running number, for example 3F9A1C2B-0001.
Each invoice also gets a unique Reference that starts with RF. The reference is used in the Swiss QR bill
and to match payments from imported bank statements to the right invoice.
Invoices are sent using the New Invoice email template. The invoice is attached as a PDF.
Currently, only subscription invoices are sent automatically. You send invoices of event registrations by hand if needed.
Subscription invoices are first created as a Draft and sent automatically one hour later. When an invoice is sent, payment reminders are scheduled according to your settings.
To send an invoice by hand or send it again:
If you send a draft, it's finalized right away instead of after one hour. Invoices with an amount due of 0 are closed as paid and aren't sent by email.
The invoice goes to the email address in the invoice's Address section. Use Edit to change the email address, name and address of this one invoice, for example before you send it again. For future invoices, change the Billing address in the customer's details view.
You can download invoices as PDFs for your records or to print them. Click PDF invoice on the invoice overview to generate and download a PDF file.
The PDF is generated fresh each time and uses the Language for customers from your settings. It contains your logo (if available), your address, the customer's address, the line items with discounts and taxes, and the amount due. If you've added an IBAN, the PDF includes your bank details or a Swiss QR payment part.
To settle invoices and mark them as paid, you can record payments.
Invoices that are compatible with the Swiss QR bill can be reconciled using bank statement files (camt.053 / camt.054).
For all other invoices that weren't paid online, you can record payments manually.
Learn more in the Payments guide.
If an invoice was only partially paid, you can still mark it as paid if needed. To do so, click the ellipsis icon > Mark as Paid. This option is only available once a payment has been recorded.
If no payment has been recorded yet, you can also void an invoice.
To do so, click the ellipsis icon > Mark as Voided.
A voided invoice can't be sent. Its PDF is titled Void and shows no amount due, bank details or Swiss QR payment part.
You can reopen a voided invoice with the ellipsis icon > Mark as Unpaid. Drafts can't be voided. If you delete the subscription or cancel it immediately, the draft is deleted or voided.
If a payment reminder added a late fee, it appears as a separate line item in the invoice's Summary. Click the X next to the line item to remove the late fee. Other line items can't be removed.
