What Is a Follow-Up Email?

Follow-up emails are a way to stay on leads' minds and prompt them to take a specific action. Our booking system lets you send a follow-up email to leads who attended or didn't attend an appointment.

Goal for Attended Appointments

To turn leads who have already attended an appointment with you, but may still be unsure, into returning customers after all.

Goal for Missed Appointments

These days, it's easy to forget things. That's why leads who didn't attend an appointment should be able to choose a new one.

Set Up Follow-Up Emails

Before you can send follow-up emails, you need to set up the templates.

To set up the follow-up emails, follow these steps:

  1. In the admin panel, click Settings
  2. In the submenu, click Email Templates
  3. In the Email Templates section: Click Follow-Up (Attended) or Follow-Up (Not Attended)
  4. The template editor opens. Adjust the default template and save your changes so you can use the template.

In general, we recommend the following optimizations to the default templates:

Follow-Up (Attended)

  • Adjust the greeting if you agreed with the lead before or after the appointment to address each other informally.
  • Adjust the link so it points to a page that contains all the information returning customers need and lets them sign up for a subscription (coming soon).

Follow-Up (Not Attended) and Appointment Confirmation

  • Just enter your contact information in the general settings.

Send Follow-Up Emails

You trigger the sending yourself. A follow-up email isn't sent just because the appointment time has passed.

When an appointment is or has been marked as Attended or Not attended, you can send a follow-up message via an email template. As described in the section on updating the attendance status, you can send a follow-up email directly when you set the attendance status.

You can also do this after setting the attendance status. Follow these steps:

  1. Click the Send follow-up email button
  2. In the next step, the Reply with template option is already selected. Alternatively, click Reply manually to write your own message. Below it, click Send follow-up email to "lead" to send the email.
