Import and Export Customers / Leads

If you have a customer list that you'd like to use in keinaufwand, you can import it into your admin panel using a customer CSV file.

CSV files

CSV stands for comma-separated values. It's a file format for spreadsheets. You can use CSV files to import and export your customers / leads, and to export your bookings (export only).

They can be useful in a number of situations, for example when you switch to keinaufwand from another platform, want to import leads from other marketing channels, or want to run further analyses on your data.

CSV files may seem complicated at first, but once you understand how they work, they can make your day-to-day work easier.

The values in a CSV file are usually separated by either a comma or a semicolon. This varies by region. In German-speaking regions, a semicolon is normally used to separate values, which is why we also use a semicolon by default.

Your CSV files must also be UTF-8 encoded.

When you update an exported CSV file, save it with UTF-8 encoding to avoid unwanted special characters in your file. If you don't, the import may fail or produce incorrect data. We can't undo incorrect imports.

Each value in a CSV file corresponds to a cell in a spreadsheet. Each line is a row, and each semicolon (or comma) shows where a value starts and ends.

For example, the values in this CSV file:

look like this in a spreadsheet program:

Note

We recommend using Google Sheets to work with your CSV files. To use it, import the CSV file into Google Sheets. Make sure to use a semicolon as the separator. After making your changes, export the CSV file to your computer, again with the semicolon as the separator. Special characters don't always work correctly in CSV files that are exported, updated in another spreadsheet program (for example Excel), and then imported into keinaufwand again.

Customer CSV template

If you import the empty customer CSV template without adding any new customers, two sample customers are created in your list:

  • Max Muster
  • Heidi Muster

The customer CSV template file looks roughly like this:

Import customers with the customer CSV template

keinaufwand provides a template file that you can use to create your customer list and import it. You can download and view our template here.

When you export the CSV file from your spreadsheet program, make sure to use a semicolon as the separator!

Note

Importing a CSV file creates a customer for each email address in the file. Customers with the same email address are skipped. Only the last entry with the same email address is used.

To import a customer list:

  1. From the admin panel, go to the Customers section
  2. Click the ellipsis icon in the top right, then click Import
  3. In the import window, click "Upload CSV file" and select your customer CSV file
  4. If you want to update existing customers, select "Overwrite existing customers with the same email address"
  5. Click Import customers

A file may be at most 1 MB and contain at most 1000 customers. After the import you see how many customers were created, updated, skipped (same email address, without overwriting) or not imported because of invalid details.

Export customers to a CSV file

You can export a CSV file with either all customers or the customers selected by your filters.

You can open exported CSV files in spreadsheet programs like Excel, Numbers, or Google Sheets.

Note

For best results, we recommend editing CSV files with Google Sheets.

To export your customers:

  1. From the admin panel, go to the Customers section
  2. Click the ellipsis icon in the top right, then click Export
  3. In the export window, select which entries you want to export
  4. Click Export customers

Import troubleshooting

If the import fails or some customers aren't imported, make sure that the following applies:

  • The CSV file is UTF-8 encoded
  • Values in the CSV file are separated by a semicolon (;)
  • Phone numbers include a country code (example: +41 79 345 67 89)
  • Every customer / lead has a unique email address

If the import still doesn't work as expected, send your CSV file to kontakt@keinaufwand.com and we'll help you out.

Export the attendance status of bookings

The CSV export of your bookings also includes the attendance status. If you've recorded whether an appointment was attended, you can analyze this data in Excel, for example, to track regular attendance. Attendance that wasn't recorded is not filled in retroactively.
